We are seeking a dedicated and detail-oriented Intake Specialist to join our team. This role involves managing client referrals from LegalShield and other firm programs, and integrating them into our traditional practice. The ideal candidate will have excellent customer service skills, strong computer proficiency, and a proactive approach to completing tasks.

Key Responsibilities:

  • Client Contact: Reach out to clients referred by LegalShield to initiate the intake process.
  • Consultation Coordination: Work closely with lawyers and legal assistants to schedule consultations, ensuring timely and efficient communication.
  • Payment Collection: Where needed, handle the collection of payments from clients, maintaining accurate records.
  • Database Management: Enter and update client contact information in the firm’s databases.
  • Cross-Training: Participate in cross-training for general and digital marketing referral intakes to support the marketing team as needed.

Qualifications:

  • Strong customer service skills with a focus on client satisfaction.
  • Proficient in computer skills, including database management and scheduling software.

JOB TITLE: Customer Support Supervisor
DEPARTMENT:  LegalShield
REPORTS TO: Department Manager
CLASSIFICATION: Exempt, Salary
LOCATION: Mesa Office (this is not a remote position)

JOB SUMMARY: The Customer Support Supervisor will oversee the daily operations of the customer service department, ensuring that standards and customer satisfaction goals are met.  Works closely with Department Manager.

ESSENTIAL JOB RESULTS:
The following reflects the essential functions for this job but does not restrict the tasks that may be assigned.

  1. Manages a team of assigned staff and ensures they comply with company guidelines particularly related to quality of service.
  2. Monitors or reviews calls or other correspondence between staff and customers.
  3. Collects data and prepares reports on customer complaints and inquiries.
  4. Prepares monthly reports summarizing the staff performance.
  5. Identifies opportunities to update or improve service procedures and makes recommendations to the Department Manager.
  6. Monitor daily time keeping and approve timesheets for payroll processing.
  7. Assist with hiring, interviewing, performance management and terminations in accordance with company policy.
  8. Conduct new hire training and on-going employee development.
  9. Assists with budget preparation for the support department.
  10. Model the professional behaviors and work quality expected of each employee.
  11. Performs other duties as assigned by manager.

Additional Responsibilities: Assists with related special projects, as required.

ESSENTIAL JOB QUALIFICATIONS:

EDUCATION: College Degree in related field a plus.

EXPERIENCE: A minimum of three years of customer service experience required.  Customer service supervisory experience with a background in training and developing teams is preferred.

ESSENTIAL KNOWLEDGE, SKILLS & ABLITIES:

  • Strong leadership and managerial skills, with the ability to supervise and motivate a team.
  • Excellent communication skills, both written and verbal, with the ability to effectively communicate with all levels of the company.
  • Attention to detail and accuracy in reviewing documents and other information.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent conflict resolution skills and a high level of confidentiality and integrity.

  • Proficient in Microsoft Office Suite and related software programs.

Mental Requirements: Reading, writing, multi-tasking, judgment and problem solving.

Physical Requirements:  Work daily in the Mesa office, sit for long periods of time at computer; hearing/listening. Clear speech, close vision, data entry on computer.  May be required to occasionally lift and/or move up to 25 pounds.
