Transactional – Legal Assistant

We are seeking an experienced Legal Assistant with a minimum of 3-5 years’ experience in transactional law.  Bachelor degree and paralegal certificate preferred.  The ideal candidate must be highly organized, detail-oriented, proficient computer skills, 60+ wpm, excellent language skills and professional attitude and appearance required.  This position is a full-time position, Monday-Friday 8am-5pm.

Primary Responsibilities:

DRAFTING/EDITING OF DOCUMENTS:

  • Assist in drafting documents as directed by Attorney; edit and finalize attorney work product related to estate planning, corporate formations, mergers and acquisitions and/or commercial real estate transactions

CLIENT MANAGEMENT:

  • Interface with clients answering basic questions associated with attorney work product.
  • Schedule and coordinate appointments as needed

FILE ORGANIZATION:

  • Ensure electronic file is complete and kept pursuant to firm procedure
  • Assist with opening and closing of files

DOCKETING/CALENDARING: 

  • Docket all dates (closing dates, signings, etc.)
  • Follow-up on dates via telephone calls or correspondence 
  • Follow-up on assignments with Attorney so deadlines are met

TIMEKEEPING:

  • Record billable and unbillable (client and administrative) time spent in the correct file matters
  • Perform such other duties as may be assigned from time to time

Experience:

  • Minimum of 3-5 years transactional work (basic, intermediate and advanced estate planning, corporate formation and mergers/acquisitions, commercial real estate)

Client Intake Specialist

Status of Job: Hourly, full time, non-exempt

We are seeking an outgoing professional who enjoys helping others and has a natural ability to WOW prospective clients. The ideal candidate will have 2-3 years of consultative sales experience with previous experience working in a legal environment being a plus. Strong organizational skills along with excellent oral and written communication abilities are necessary. Proficiency in the use of MS Office products, fimilar with CRM software and SMS services. This position reports to the Director of Marketing. Functions to be performed may include, but not limited to:

Primary Responsibilities:

  • Answer incoming intake phone calls and encourage potential clients to select the firm as their advocate
  • Call potential/existing clients for appointments
  • Schedule and coordinate appointments
  • Ensure all intake information is sent/received (follow Dept. protocols)
  • Ensure that attorney’s calendar is updated with all applicable appointments
  • Follow-up on leads systematically
  • Take payments for consults (as applicable)
  • Update status as appropriate (to OC or Close)
  • Work with marketing on sending out requests to clients for feedback

Perform such other duties as may be assigned from time to time.

Family Law – Administrative Assistant

We are seeking an Administrative Assistant with 1-2 years experience working in an office environment. The ideal candidate must have excellent customer service skills, organized, detail-oriented and can multi-task. This position is a full-time position, Monday-Friday 8:30am-5:30pm, $16-$18 DOE.

Primary Responsibilities:

Pursue excellence, be a team player, be accountable, value integrity and be respectful to co-workers and clients. Perform a wide variety of functions supporting the department while maintaining a very high standard of professionalism, attendance, attention to detail, and confidentiality, with direct reporting to the Dept. Head. Functions to be performed include, but are not limited to:

Appointments:

  • Ensure conflict checks are done for potential new clients or added parties
  • Schedule and coordinate appointments with all potential new clients
  • Ensure that attorney’s calendar is updated with all applicable appointments

Mail:

  • Process, proof and edit all outgoing correspondence drafted by attorneys

Telephone and Voicemail:

  • Take messages as appropriate
  • Take any action required immediately, as appropriate
  • Retrieve voice mail, as appropriate
  • Set up telephone conference calls

Timekeeping:

  • Record billable and unbillable (client and administrative) time spent in the correct file matters

Opening/Closing File:

  • Assist in opening and closing files, as directed by attorney/legal assistant

Other:

  • Assist with putting together family law notebooks for all court appearances
  • Scan and copy correspondence; scan and copy disclosure/discovery and trial exhibits
  • Ensure electronic file is complete and kept pursuant to firm procedure

Perform such other duties as may be assigned from time to time.
